FlowYand is a Vancouver HubSpot partner that sets up and runs CRM systems for BC contractors, from 10-person trades to 200-person general contractors. We track every quote from first call to signed contract, send follow-ups automatically, and hand won jobs to your project team without lost details.

What we fix for contractors

Five problems we hear from BC contractors, and what changes once HubSpot is set up around how you actually sell.

Quotes with no follow-up

Sent it, then forgot it

The fix

Every quote gets a follow-up task and a ready email template on a set schedule, so estimators chase it on day 3 and day 7 without having to remember.

Leads in different places

Web, phone and referrals, all separate

The fix

Website forms, calls and referrals land in one pipeline and go straight to the right person.

No view of open bids

Which jobs are we actually winning?

The fix

A simple dashboard shows open quotes, win rate and revenue by month, plus why jobs were lost.

Details lost after the win

The site team starts from scratch

The fix

Won jobs hand off to Asana or monday.com with scope, specs and contacts attached.

Owners chasing for updates

Where is that quote at?

The fix

Status is visible to everyone, so the owner stops asking and the team stops reporting by email.

What you get

A working system, set up for you, in plain English. If your estimators can use email, they can use this.

From scattered quotes to one pipeline

What we built

Two HubSpot pipelines, one for quoted projects and one for recurring contracts. A rate-card dropdown prices each quote automatically, 6 automations remind owners to follow up and flag stalled deals, and renewal tasks fire 90 and 30 days before a contract ends. Plus a sales dashboard and a 3-page user guide.

Service contractors in BC and Alberta

What we built

Sales pipelines in HubSpot automated end to end, from first inquiry and bid through signed contract and renewal. Follow-ups, reminders and stage changes run on their own, so nothing depends on someone remembering to chase a quote.

Questions contractors ask

Straight answers on what it does, what it costs and how long it takes.

What does a CRM do for a contractor?

The short answer

Answer

A CRM keeps every lead, quote and customer in one place. For contractors it tracks each bid from first call to signed contract, reminds estimators to follow up, and shows which jobs are open, won or lost.

How much does a HubSpot setup cost for a small contractor in BC?

Pricing

Answer

Most setups for 10–50 person contractors cost CAD 2,500 to 5,000, plus HubSpot’s own subscription. We scope it in a free 20-minute review, so you know the price before anything starts.

How long does a CRM setup take?

Timeline

Answer

Most contractor setups take 4–6 weeks: about a week to map how you sell, three to four weeks to build and test, and a training session at the end.

Do we need to be good with technology?

No

Answer

No. We set it up, train your team in plain English, and support it for 90 days. If your estimators can use email, they can use HubSpot. AI features that draft follow-ups and summaries are switched on for you.

Can it connect to the tools we already use?

Usually yes

Answer

HubSpot connects to Gmail and Outlook, website forms, phone systems and accounting tools. Won jobs can flow into Asana or monday.com for your project team. We check your tools in the free review.

Are you an official HubSpot partner?

Yes

Answer

Yes. FlowYand is a certified HubSpot Solutions Partner and an Asana and monday.com partner, based in Vancouver, BC.
